This policy explains what personal information Tennis Slam collects when you use teamtennisgo.com, why we collect it, who we share it with, and what you can ask us to do about it. We have written it to describe what this website actually does. If you find anything here that does not match your experience, please tell us at info@slamtournaments.com.

Tennis Slam operates women's doubles tennis tournaments at resort destinations. In this policy, "we," "us" and "Tennis Slam" mean Tennis Slam Corporation.

1. Information we collect

Yes, we collect personal information about you. Specifically:

Information you give us when you create an account

  • First and last name
  • Email address
  • Password (stored only as a cryptographic hash, never as readable text)
  • Mobile phone number
  • City and state
  • Confirmation that you meet our eligibility requirements

Information you give us when you register for a tournament

  • Full legal name
  • Date of birth
  • Email address and phone number for the event
  • Emergency contact name and phone number
  • Your electronic signature and the date you signed the liability waiver
  • Any dietary preferences you tell us, so we can plan catering
  • Your team, partner and accommodation selections

Your date of birth, emergency contact details and signed waiver are collected because a physical sporting event requires them. We treat these as sensitive and limit access to them to the people running the event.

Payment information

Payments are processed by PayPal. Your card number never reaches our servers. You are sent to PayPal to pay, and PayPal returns a confirmation to us. We store the PayPal transaction reference, the PayPal payer ID, the email address associated with your PayPal payment, the amount, the currency and the date.

Information collected automatically

  • IP address
  • Browser type, device type and operating system
  • Pages you view on our site, and when
  • The site or advertisement that referred you to us

Some privacy laws treat an IP address and similar identifiers as personal information, and so do we.

2. How we use your information

  • To create and maintain your account and let you log in
  • To register you for tournaments, build teams and pairings, and run the events
  • To take payment and issue refunds
  • To contact you about your registration, your team and the event you signed up for
  • To respond when you contact us
  • To keep the site working, secure and free of abuse
  • To measure how our advertising performs and to reach people who may want to play
  • To meet our legal, insurance, accounting and safety obligations

If you are in the UK or European Economic Area, our legal bases are: performance of a contract with you (running your registration), our legitimate interests (operating, securing and promoting the business), your consent where we ask for it, and compliance with legal obligations.

3. Who we share your information with

We do not sell your personal information for money. We do share it with the service providers below, who need it to make the site and the events work. This is a complete list of the third parties that receive personal information through this website:

  • PayPal (payment processing) receives your name, email address and the payment amount when you pay. PayPal is an independent controller of that data.
  • Meta Platforms (Facebook and Instagram advertising) receives your IP address, browser details, the pages you visit on our site, and whether you registered or paid. This is done through the Meta advertising pixel, described in section 4. We do not send Meta your name, email address, phone number or waiver details.
  • Google (Google Analytics 4) receives your IP address, browser details and the pages you visit, so we can see how the site is used. Google also serves the web fonts and some code libraries used by the site, which means Google receives your IP address when a page loads.
  • Brevo (email delivery) receives your name and email address so we can send you account, registration and event email.
  • DigitalOcean (web hosting) stores our website and database on servers in the United States.
  • Content delivery networks (jsDelivr, Cloudflare and the jQuery Foundation) receive your IP address when your browser loads shared code libraries used by the site.
  • Our staff and contractors who build and operate the site and run the tournaments.

We will also disclose information if the law, a subpoena or a court order requires it, if we need to protect someone's safety, or if the business is sold or merged, in which case your information would transfer with it.

4. Cookies and tracking

A cookie is a small file your browser stores. On a single visit to our homepage, before you log in or register, this site sets the following:

  • PHPSESSID (ours) keeps you logged in as you move between pages. It expires when you close your browser. The site cannot work without it.
  • rememberme (ours) is set only if you tick "remember me" at login, so you do not have to sign in every time.
  • _ga and _ga_QZ8BP4CK8Y (Google Analytics) tell us how many people visit and which pages they use.
  • _fbp (Meta) lets us measure whether our Facebook and Instagram advertising is working, and lets Meta show our ads to people like you on Facebook and Instagram.

The Meta and Google cookies are advertising and analytics cookies, not strictly necessary ones. Under some privacy laws, using them to show you advertising counts as "sharing" your personal information for cross-context behavioural advertising, even though no money changes hands.

How to turn them off. If your browser or a browser extension sends a Global Privacy Control (GPC) signal, we treat that as a request to opt out and we do not load the Meta or Google tags. You can also block or delete cookies in your browser settings, opt out of Meta's ad targeting in your Facebook ad settings, and install Google's Analytics opt-out add-on. Turning these off does not affect your ability to register or play.

5. Automated decisions and artificial intelligence

We think you should know exactly where automation sits in this business, so:

  • We do not use artificial intelligence or automated decision-making to make decisions about you. Whether you can register, what you pay, which team you land on and how the draw is made are decided by people and by fixed rules, not by a model scoring you.
  • We use AI tools to help produce our marketing material (written copy and images for our website, email and social media) and to help write and maintain the software that runs this site. These tools are not used to profile you or to make decisions about you.
  • Our advertising and analytics providers use their own automated systems. Meta and Google apply machine learning to the data described in section 3 to decide which ads to show and to produce audience reports. That processing happens on their systems and is governed by their privacy policies, not ours.

If we ever start using automated systems to make decisions that affect you, we will say so here before we do it.

6. How long we keep your information

  • Account information: while your account is open, and for 12 months after you ask us to close it.
  • Tournament registrations and signed waivers: seven years after the event. Waivers are legal records tied to a physical sport, and our insurers and the statute of limitations require us to keep them.
  • Payment records: seven years, for tax and accounting.
  • Analytics and advertising data: as set by Meta and Google, typically up to 26 months.

When a retention period ends we delete the information or strip it of anything that identifies you.

7. How we protect your information

The site is served over HTTPS. Passwords are stored as salted hashes and cannot be read by us or recovered. Access to the customer database is limited to the people who need it. We keep the software patched and back the database up.

No website can promise perfect security. If a breach affects your personal information, we will notify you and the relevant regulators as the law requires.

8. Your rights

Wherever you live, you can ask us to:

  • Tell you what personal information we hold about you and how we use it
  • Give you a copy of it
  • Correct anything that is wrong or incomplete
  • Delete it, except where we must keep it (signed waivers and payment records, above)
  • Stop using it for advertising and analytics
  • Stop sending you marketing email

California residents also have the right to know what is collected, disclosed and shared, the right to delete, the right to correct, the right to opt out of sale or sharing including through the Global Privacy Control, the right to limit the use of sensitive personal information, and the right not to be treated differently for exercising any of these rights. Residents of the UK and EEA additionally have the rights to restrict processing, to data portability, to object, and to complain to their data protection authority.

To exercise any of these, email info@slamtournaments.com. We will confirm within 10 days and respond within 45 days. We may need to verify your identity before we act, and we will never charge you or reduce your service for asking.

9. Children

Tennis Slam is for adults. Our events are open to women aged 21 and over, and our website is not directed to children. We do not knowingly collect personal information from anyone under 13, which is the age the Children's Online Privacy Protection Act (COPPA) covers. If you believe a child under 13 has given us information, email info@slamtournaments.com and we will delete it promptly.

10. Photographs and video at events

We take photographs and video at our tournaments and use them to promote Tennis Slam. By registering you grant us a licence to do so, which is set out in section 5 of our Terms of Service. This is a specific permission you give us when you register, and it is the one case where images of you may be published publicly.

If you would prefer not to appear, tell us at info@slamtournaments.com and we will do our best to accommodate you, including removing a specific photo on request. We cannot always remove images already reproduced by third parties or printed in material already distributed.

11. Where your information is held

We are based in the United States and your information is stored and processed there. If you are in the UK or EEA, that means your information is transferred outside your country. Where that transfer needs a safeguard, we rely on our providers' standard contractual clauses.

12. Changes to this policy

If we change this policy we will post the new version here and update the "Last updated" date at the top. If the change is significant, we will tell registered users by email.
